Who we are
Viaclin Limited, trading as Viaclin, is the data controller for this website. The company is registered in Ireland, company number 820040, with its registered office at Fenero, Block D, Tyrrelstown Plaza, Dublin 15, D15 K4PY, Ireland.
This notice covers viaclin.com and the enquiries that reach us through it. It follows the General Data Protection Regulation (GDPR) and the Data Protection Act 2018. Work we carry out for a client is covered by the contract for that engagement.
For any question about this notice or your data, write to info@viaclin.com.
What we collect
When you send the contact form
We receive your name, company, work email, programme stage and message, along with a record that you ticked the consent box.
The form also carries campaign values, such as utm_source, where the address of the page holds them, along with the path of that page. If you have accepted analytics, the site keeps those values for the rest of your visit, so the form carries the ones from the page you landed on.
If you write to us by email instead, we hold your address and whatever you choose to tell us.
The site does not ask for health data or any other special category of data. Leave patient and trial subject details out of your message.
When you visit
Our hosting provider records standard server logs, including IP address, browser type, the page requested and the time of the request, to run and protect the site.
The site also keeps a small number of settings in your browser, such as your light or dark theme. The cookie policy lists each one.
When you accept analytics or insights
Nothing in this group loads until you say yes. Google Consent Mode starts every visit with all signals set to denied, and the advertising signals stay denied whatever you choose.
- Analytics. Google Analytics 4 records the pages you view, the site or campaign that brought you here, your device and browser type, an approximate location taken from your IP address, and events such as a button press, a form start or a search.
- Insights. Microsoft Clarity records how pages are used: clicks, taps, scrolling and pointer movement. We see the results as heatmaps and session replays. With the same consent, the site can place you in a test group so that we can compare two versions of a page.
We use these tools to see how the site performs, not to work out who you are. The site carries no advertising, and we do not sell data.
Why we use it and the legal bases
| Purpose | Data | Legal basis |
|---|---|---|
| Reply to your enquiry and, where you ask us to, prepare a proposal | Contact form and email details | Your consent, given when you tick the box and send the form: Article 6(1)(a) GDPR |
| Measure how the site is used, so that we can improve it | Analytics data | Your consent, given through the cookie settings: Article 6(1)(a) GDPR |
| See how pages are used and compare page versions | Insights data | Your consent, given through the cookie settings: Article 6(1)(a) GDPR |
| Run the site, keep it secure and investigate misuse | Server logs | Our legitimate interest in a working, secure website: Article 6(1)(f) GDPR |
You can withdraw consent at any time. For analytics and insights, open the cookie settings from the footer of any page or from the cookie policy. For an enquiry, email us. Withdrawal does not affect anything done before it.
You are under no duty to give us data. Without a name and an email address we cannot reply to an enquiry. We make no decisions about you by automated means.
Who processes it
We use a small number of providers to run the site. The privacy notice of each one explains how it handles data.
| Provider | What it does for us | Data | When |
|---|---|---|---|
| Vercel | Hosts and delivers the site | Server logs, including IP address | On every visit |
| Web3Forms | Passes contact form submissions to our mailbox | The contents of the form | When you send the form |
| Google Analytics 4 | Site measurement | Analytics data | After you accept analytics |
| Microsoft Clarity | Heatmaps and session replays | Insights data | After you accept insights |
Enquiries arrive in our business mailbox, which an email provider hosts for us.
We disclose data to a court, a regulator or a professional adviser where the law requires it, or where we need to establish or defend a legal claim. We do not sell data, and we do not pass it to anyone for their marketing.
International transfers
Vercel, Web3Forms, Google and Microsoft may process data in the United States and in other countries outside the European Economic Area.
Where that happens, the transfer rests on one of two safeguards: the European Commission's adequacy decision for the EU-US Data Privacy Framework, for providers certified under it, or the Commission's standard contractual clauses. Email us if you would like to know which safeguard covers a given provider.
How long we keep it
- Enquiries: 30 days, or longer where the enquiry becomes part of an engagement record.
- Analytics and insights: the settings of each provider decide. We set Google Analytics 4 to its 14 month option for user and event data. Microsoft Clarity keeps recordings and heatmap data for the periods in its own documentation.
- Server logs: held by our hosting provider under its own schedule.
- Browser storage: the cookie policy gives the life of each item.
At the end of a period we delete the data or anonymise it.
Your rights
Under the GDPR you can ask us to:
- give you a copy of the data we hold about you
- correct data that is wrong or incomplete
- erase your data
- restrict how we use it
- send it to you, or to another organisation, in a portable format
You can also object to processing that rests on our legitimate interests, and you can withdraw consent at any time.
To use any of these rights, email info@viaclin.com. We may ask for proof of identity before we act. We answer within one month. The law allows two further months for a complex request, and we will tell you if we need them. There is no charge for a request. The law allows a fee, or a refusal, where a request is unfounded or excessive.
Complaints
If something has gone wrong, tell us first at info@viaclin.com and we will try to put it right.
You have the right to complain to the Data Protection Commission, the supervisory authority for Ireland, at dataprotection.ie. If you live or work in another EU or EEA country, you can complain to the authority there instead.
Children
This site is written for people who work in life sciences companies. It is not aimed at children, and we do not seek data from anyone under 18. If you believe a child has sent us data, tell us and we will delete it.
